Responsibilities

As a Senior Administrative Specialist, this position will perform a diverse range of daily administrative activities in direct support of Design Engineering, Onsite Design Engineering and Field Engineering to meet company and operational goals.

 

Key Responsibilities

  • Provide day to day support to multiple department managers and staff.
  • Review, maintain, and create appointments in Outlook to include arranging conference rooms and online meetings through Teams and WebEx.
  • Organize meeting materials and presentations.
  • Compose, proofread, and route documents including letters, memos, reports, spreadsheets, presentations, and meeting minutes.
  • Ensure all documents comply with MSTS policies and standards.
  • Perform Time Administrator duties.
  • Assist in the onboarding process for new hires.
  • Submit badging requests for visitors and required onboarding documentation for subcontractors.
  • Prepare outside training, conference registration, travel, itineraries, and expense reports for all employees.
  • Complete check requests for employee reimbursements, Outside Event Requests, and license and membership renewals.
  • Manage and order all office supplies for the department including paper for printers and large format plotters, safety equipment (PPE), ergonomic equipment, new computers and monitors, and specialty equipment.
  • Complete and coordinate requests related to office moves, space management, telephone installation and changes, maintenance work, locksmith requests, and Material Equipment Shipping Application moves.
  • Prepare job requisitions, transfers, and Personnel Action Notices for reclassifications of employees as needed.
  • Maintain records inventory within the company records system as the Records Coordinator for the directorate.
  • Complete all procurement requisition orders for the department including Request for Contractor Affiliate Sources, subcontract support, blanket contracts, and task orders.
  • Order new software and maintain current software licenses.
  • Manage Electronic Job Task Analysis, physicals and respirator mask fits for the department.
  • Participate in department and directorate Tier level meetings.
  • Manage Fleet vehicles as the department Vehicle Coordinator, including maintaining sign-out logs, reporting monthly mileage, scheduling preventive and other necessary maintenance, having vehicles cleaned, and assisting with miscellaneous issues.
  • Contribute to improving operations/processes, solving problems, and addressing issues for improving work group effectiveness.
  • Work independently on special projects as needed.

Qualifications

Due to the nature of our work, US Citizenship is required for all positions.

  • Bachelor’s degree in related field or equivalent training and experience and at least 5 years of professional level experience, which provided a thorough working knowledge of administrative policies and procedures.
  • Ability to use software applications needed in the position, including Outlook, Word, Excel, and PowerPoint.
  • Ability to take notes and capture actions at meetings.
  • Must be highly organized to develop specific goals and plans to prioritize accomplish assigned projects and meet required deadlines.
  • Ability to utilize independent judgment, creativity, and initiative to resolve current and future problems and ensure requirements are completed efficiently and on time.
  • Ability to promote an open and informal communication environment, develop mutual trust and teamwork, and facilitate employees’ self-development.
  • Must possess excellent interpersonal skills and ability to communicate with internal and external contacts, representing the organization in a tactful, professional and effective manner.
  • Must be able to cope with pressures from handling multiple tasks simultaneously, complaints, frequent interruptions, and time constraints.
  • Must demonstrate discretion when handling personal and company private information.
  • Possess a knowledge of basic math, grammar, spelling and punctuation.
  • The primary work location will be at the Losee Road facility in North Las Vegas, Nevada. Work at the Nevada National Security Site (located 65 miles northwest of Las Vegas, Nevada) may be required in support of these functions.
  • Work schedule for this position will be 4/10’s, Monday – Thursday (subject to change).
  • Pre-placement physical examination, which includes a drug screen, is required. MSTS maintains a substance abuse policy that includes random drug testing.
  • Must possess a valid driver’s license.

Ability to obtain a HSPD-12 Personal Identity Verification credential under the Department of Energy Order 206.2, ‘Identity, Credential, and Access Management,’ and Supplemental Directive NNSA SD 206.2, ‘Implementation of Personal Identity Verification for Uncleared Contractors.’

Annual salary range for this position is: $77,001.60 - $115,502.40.


Starting salary is determined based on the position market value, the individual candidate education and experience and internal equity.
