Responsibilities

The Construction Support Department is looking for a high performing individual with an attention to detail to become our Senior Business Assistant and provide administrative support to the Construction Support Department.

 

Key Responsibilities

  • Perform a wide range of routine to complex administrative tasks with minimal supervision for Subcontractor Technical Representatives (STR).
  • Coordinate and maintain status of specialized documents, databases, records, and file directly related to management policies, general construction operations, and support of assigned organization in compliance with organizational, company, and NNSA regulations.
  • Coordinate requests for services and answer inquiries from other organizations or outside entities.
  • Monitor all follow-up actions required by supervisor/manager.
  • Perform the duties of coordinating training, badging, medical submittals for MSTS review for physicals and surveillance programs.
  • Analyze incoming correspondence and determine whether the document requires further action.
  • Compose, edit, and distribute outgoing correspondence.
  • Maintain up to date STR spreadsheets with current data.
  • Perform administrative tasks of a specialized nature to research, analyze, and develop projects and assignments.
  • Extract data from reference material; compile, analyze, and prepare or help prepare information for studies or reports.
  • Organize and assist in preparing material for meetings, presentations, and training sessions.
  • Schedule meetings and maintain both supervisor/manager and the organization calendar to ensure no conflicts.
  • Perform routine procurement functions for the group and track expenditures for delivery.
  • Assist the Subcontract Technical Representative as requested for IT services and equipment.
  • Monitor organization timekeeping activities and act as a proxy.
  • Review records and ensure are complete and ready for records archival.
  • Perform related work as assigned by supervisor.

Qualifications

Due to the nature of our work, US Citizenship is required for all positions.

  • High School diploma or equivalent, and at least 6 years of related experience.
  • Ability to observe, receive, and obtain information from all relevant sources.
  • Must be highly organized to develop specific goals and plans to prioritize, organize, and accomplish assigned projects.
  • Must possess excellent interpersonal skills and ability to communicate with internal and external contacts, representing the organization in a tactful, professional, and effective manner.
  • Ability to develop constructive and cooperative working relationships with team members and external stakeholders.
  • Proficiency in the use of software applications including Microsoft Office and general office equipment.
  • Proficient in the use of virtual and hybrid meeting technologies, such as Teams and WebEx.
  • Able to deal with pressure of handling multiple tasks, complaints, frequent interruptions, and time constraints.
  • Knowledge of basic math, grammar, spelling, and punctuation.
  • Able to communicate with all types of people in a tactful, professional, and effective manner while screening and maintaining confidentiality.
  • Able to follow oral and written instruction and follow through on all assignments.
  • The primary work location is designated at the Nevada National Security Site (located 65 miles northwest of Las Vegas).
  • The work schedule is designated as 4/10s, Monday - Thursday (subject to change).
  • Pre-placement physical examination, which includes a drug screen, is required. MSTS maintains a substance abuse policy that includes random drug testing.
  • Must possess a valid driver’s license.

Ability to obtain a HSPD-12 Personal Identity Verification credential under the Department of Energy Order 206.2, ‘Identity, Credential, and Access Management,’ and Supplemental Directive NNSA SD 206.2, ‘Implementation of Personal Identity Verification for Uncleared Contractors.’

Annual salary range for this position is: $55,806.40 - $83,720.00.

 

Starting salary is determined based on the position market value, the individual candidate education and experience and internal equity.
