  • Qualifications

    • Bachelor's degree in related field and at least 2 years of professional level experience, which provided a sound working knowledge of administrative policies and procedures, or equivalent training and experience.
    • Experience supporting a nuclear operation or nuclear safety office environment is preferred.
    • Knowledge of business and management principles involved in planning, resource allocation, human resources, and coordination of people and resources.
    • Able to utilize independent judgment, creativity, and initiative to resolve problems and ensure that requirements are completed efficiently and on time. 
    • Able to use personal computer, printers, copiers, telephones, fax machines, calculators, and other general office equipment.
    • Able to apply knowledge of a broad range of specialized functions and assist in coordinating activities with those of other work groups. 
    • Able to plan/organize work to complete in the most efficient manner and meet required deadlines.
    • Able to deal with pressure of handling multiple tasks, complaints, interruptions, and time constraints.
    • Knowledge of basic math, grammar, spelling, and punctuation.
    • Able to use software applications needed in the position, including Microsoft Suite and general office equipment.
    • Must possess excellent interpersonal skills and ability to communicate with people inside and outside the organization, representing the organization to customers, government and other external sources in a tactful, professional, and effective manner while maintaining confidentiality.
    • Ability to develop constructive and cooperative working relationships with others, and maintain them over time
    • Pre-placement physical examination, which includes a drug screen, is required. MSTS maintains a substance abuse policy that includes random drug testing.

    This position reports to the Director, Nuclear Assurance.  As the Nuclear Assurance Administrative Specialist, you will perform various complex administrative, clerical, and/or operations support duties and responsibilities supporting one or more of the following functional areas within Nuclear Assurance: safety basis, criticality safety, Unreviewed safety question (USQ). These responsibilities can include:


    • Process correspondence for the transmittal of Nuclear Assurance products. Able to apply knowledge and experience to compose correspondence and reports, and accomplish goals where established procedures may not be specific.
    • Answer inquiries from other departments, area offices, or outside entities.
    • Support implementation of records management program. Maintain files of various historical data. Perform the function of Records Coordinator for Nuclear Assurance.
    • Maintain calendar and schedule meetings on behalf of the Nuclear Assurance Director.
    • Exchange information and work with peers, both within and outside of work group, and work with outside agencies, customers/sponsors, and suppliers as assigned. Coordinate work of own work group and with that of others.
    • May perform business activities related to employee morale and recognition operations, processes, programs and projects.
    • Organize material for meetings, presentations, and training sessions. May operate a variety of audiovisual equipment in the presentation of programs, orientation, and conferences.
    • Maintain inventory of office supplies.
    • Interface with Building Manager as needed to communicate issues.
    • Assist in the procurement process, completing requisition worksheets to order office supplies and PPE as well as various items as needed by Nuclear Assurance personnel.
    • Using discretion and independent judgment read and analyze incoming memos, submissions, and reports to determine their significance and plan their distribution.
    • May assist with operational planning and presentation material preparation.
    • May assist with developing and monitoring budget or financial information, such as comparing past costs with future costs, auditing invoices, and verifying labor reports.
    • Monitor all follow-up actions required by Nuclear Assurance Director.
    • Accept individual responsibility and accountability for environment, safety, health, and quality processes within personal control, personal safety, and the safety of co-workers. Comply with established regulations and procedures for environment, safety, health, and quality and perform duties in a way that will not cause personal danger, endanger other individuals, or violate environment, safety, health, and quality regulations. Promptly correct or report any hazard or potential hazard to supervision. Participate in and embrace MSTS environment, safety, health, and quality initiatives.
